Our Terms and Conditions of Service

These terms and conditions for Kopaa Guest House operation is crucial to protect both the business and our valued guests. They are clear, concise, and easily accessible on our website and in hardcopies at the guesthouse.

It’s essential for both parties to understand and respect these rules to ensure a pleasant and harmonious stay for everyone.

  1. Booking and Reservations:
  • Reservation can be made online, by phone or in-person
  • Reservation will be confirmed by Management and a deposit is required.
  • Cancellation of reservation is free provided it is within 48 hours; after which, a percentage will be deducted from the deposit.
  • Guests are expected to fill in the record form upon arrival

 

  1. Check-In and Check-Out Times:
  • Check-in time is open throughout the day and night and check-out time is at 12:00 noon. Late check-out may be available upon request.
  • Guests are to make full payment of all outstanding before checking out and where necessary, receipt should be made available for inspection by the security guard upon request
  • Guests are required to provide valid identification and fill in the guest log upon checking in.

 

  1. 3. Rates and Payment:
  • Room rates and any additional charges are available online and at the reception
  • Payments are accepted in Cash, Cheque and Mobile Money.
  • Payment schedule – Full payment on arrival and depending on the number of nights stay, partial payment is accepted and balance payable before check-out.

 

  1. Guest Responsibilities:
  • Guests are expected to comply with the “no smoking” rule in the rooms and the common area. Designated smoking areas are available in the open yard
  • Maximum occupancy per room – Two persons.
  • Quiet hours should be observed to ensure a peaceful stay for all guests. This typically means keeping noise levels down, especially during the evening and early morning hours.
  • Guests should inform the guest house manager if they plan to have visitors. Visitors must comply with guest house rules.

 

  1. 5. Liability and Damages:
  • Guests are responsible for any damages to the property as a result of their action(s)
  • Insurance requirements (e.g., guests encouraged to have travel insurance).

 

  1. Privacy and Data Protection:
  • Guest information will be protected with outmost confidentiality and used only as data for reporting purpose

 

  1. 7. Safety and Security:
  • Guests should lock their rooms when leaving and secure their valuables.
  • The guest house is not responsible for lost or stolen items.

 

  1. Damages and Cleaning
  • Guests are responsible for any damages they cause to the property or its contents. Excessive mess or uncleanliness may incur additional cleaning charges.

 

  1. Internet and Technology:
  • Access to Wi-Fi and other technology-related services should be used responsibly and in accordance with any applicable terms of use.
  • Wi-Fi code will be changed periodically for control purposes and given to guests upon request

 

  1. Food and Beverages:
  • In-house bar and restaurant are available for guest comfort.

No food and drinks will be allowed in the guest house except on special arrangement with the guesthouse manager

  • All guests will be served continental breakfast between the hours of 7:30 am – 9:00 am

 

  1. Feedback:

Guests are encouraged to provide feedback about their stay to help improve the guest house’s services and amenities.

 

 

  1. Force Majeure:

Unexpected events that are beyond the control of the guesthouse, (e.g., natural disasters, pandemics), which may necessitate the temporary closure of the guesthouse, management will not be liable to make refunds to guests

  1. Accessibility and Special Requests:

Accommodations for guests with disabilities is allowed. However, for if such disability necessitates special care, accommodation will only be given provider the disabled guest is accompanied by a caregiver.

 

  1. Contact Information:

Provide contact information for inquiries, concerns, or emergencies.

 

  1. Environmental Conservation:

Guests are encouraged to conserve resources like water and electricity by reusing towels and turning off lights, television and air conditioners when not in use.

 

  1. Updates and Changes:

Management reserves the right to update and change these terms and conditions to conform to contemporary realities. Guests will be notified  accordingly.
